With the amount of work the clinics go through, miscommunication is an important thing to not look past. It’s quite possibly the most important part of the job, and to make sure everything runs smoothly. 

In the regular process in clinics with insurance, the claims are sent for approval and authorization during the patient’s visit. It’s necessary to keep the communication non-disrupted to have the visit going as smoothly as possible.

How to?

When a patient who has insurance arrives for an appointment, the insurance data shows in the upcoming visits in the doctor’s planner underneath the patient’s name. 

Starting the visit by clicking “Start Visit, the process continues as normal and the doctor can add all the necessary information for the visit. When it comes to adding the treatment that’s under the insurance, the process is quite literally the same and you’ll notice in the treatment progress notes pop-up page that there’s the finance section on the left side, and it will show the insurance claim draft for the treatment is created and you’ll be able to see its status. You can even view the status of the insurance claims without clicking on each treatment. In the Current or Completed Treatment list, you’ll find that under each treatment’s name, there is either some data on the insurance claim or nothing at all for treatments not covered by insurance. You’ll find the insurance claim number and its status. When the insurance claim is set to approved by the insurance staff, you as the doctor can view this status from the current visit in the progress notes and you can start the treatment straightaway. When the claim is generated and submitted to the insurance providers, the status change is shown to you on the progress notes page and underneath the treatment name in the current/completed list.

All of this is done to minimize the wait between conveying the message between the insurance staff and the dentists. Instead of ringing the staff and asking for an answer, you’ll just have to stay on one page and wait for the answer to come to you.
