Appointment statuses are labels that indicate the current state or progress of an appointment. These include statuses like “Scheduled”, “Waiting”, “Unconfirmed”, “In visit”, “Finished” and “No Show”. In Balsam Medico, these statuses are colour-coded for easy identification. 

1. Scheduled: When the appointment has been made and confirmed by both sides

2. Waiting: When the patient arrives at the appointment and is in the waiting area of the clinic

3. Unconfirmed: When the appointment is made but unsure if the patient will commit or not

4. In visit: When the patient has entered the examination room and has started the visit

5. Finished: When the visit is complete and the patient has left the examination room

6. No show: When the appointment is made but the patient has not shown up to it

How to change appointment statuses in Balsam Medico?

You can change the status in the appointment details pop-up box, at the bottom of the box, you can find a Set button, when clicked, a drop-down list shows all the statuses. Select the desired status and the appointment status will be changed. Each status has a colour that corresponds to it. 

So why do appointment statuses matter?

In a busy workday, keeping track of where each appointment stands is crucial. By correctly assigning them to the status, you’ll know the progress of the appointment, how to proceed with this information, and the next step in handling it. For example: if the patient hasn’t shown up to their appointment, the appointment is given the status “No Show” and the next step then could be to call the patient back for feedback. This ensures a smoother workflow and improves work efficiency. 

Appointment statuses provide real-time data that can be invaluable for decision-making. In the case that a clinic notices a pattern of frequent cancellations for certain appointment types or patients, they may need to re-evaluate their scheduling practice or communicate that with the patient to find a solution. 

Also, they are a great tool for monitoring the clinic activities. This is useful for clinic owners or managers who need to keep an eye on the performance throughout the day. 

According to Nabidh HIE, assigning a status to the appointment gives them a full picture of the appointment time. For clinics integrated with them, you are encouraged to assign the appointment with the important statuses “Scheduled”, “In Visit” and “Finished”. These statuses are sent to the portal as flags of the appointment progress. 

Appointment statuses may seem like a minor detail in the clinic operations, but they have an impact on streamlining the workflow.
