Managing patient information securely and efficiently has never been more essential. NABIDH facilitates this by creating a centralised system for electronic health records in Dubai. A critical component of this system is the NABIDH consent form. This guide will focus on crafting and designing these forms to ensure compliance, clarity, and ease of use for clinic staff and patients.

An issue we face with our clinics is designing and crafting a consent form, some of them use old forms they had since the clinic’s early days or just download a draft from the internet. First and foremost, consent forms are designed to obtain patient permission to share their health information, in our case, to share them with the NABIDH network. This sharing establishes seamless communication between healthcare providers while adhering to UAE privacy laws and ethical guidelines.

If your consent form is well-designed, it becomes a tool for communication. Patients will clearly understand their rights and the scope of their consent. Thus simplifying the process for patients to provide or withhold consent.

Now when designing NABIDH consent forms, clinic owners and staff should consider the following:

1. Clarity and simplicity

To get the point across, use straightforward language to explain technical terms. For example: Instead of “data interoperability,” say “sharing your health records securely with other doctors.”

2. Include the key components

It’s not a consent form if it doesn’t cover the patient details (name, ID, and contact information), which data is shared and with whom, clear choices to participate or withdraw, and the duration of the consent and how to revoke it.

3. Multilingual availability

In Dubai, according to the DHA, you are required to offer forms in multiple languages, Arabic and English. However, adding more languages native to your patients will give you an advantage and ensure accessibility for all patients.

4. Make it visually pleasing

Don’t clutter and overwhelm your patient, use bullet points for readability, the usage of bold headings to highlight important sections and checkboxes for patient choices, making the form interactive and clear.

5. Go the digital route

Utilize your EMR system to provide digital consent forms for online submissions, and track and store consent securely for future reference.

Most consent forms can be obtained from professional associations such as DHA, MOHAP and the Emirates Medical Association (EMA). They provide standardised consent forms or guidelines for treatments and services. Visit their websites or contact their offices directly.

Reach out to well-known private hospitals or clinics, networking with peers may provide insights or access to consent form templates.

If you wish to craft your consent forms, there are some online resources available. Websites like DocHub offer editable consent form templates. Look for medical categories and customize them to meet UAE-specific regulations. Other sites such as MedicalForms.com may offer specialized consent forms. The most important step is to consult the experts, healthcare attorneys and compliance firms are the best stop. Attorneys familiar with UAE healthcare laws can draft custom consent forms that ensure complete compliance with DHA, HAAD or MOHAP standards. Agencies specializing in healthcare compliance can provide or create consent forms for all specialities. Finally, translate them into your wanted languages and include spaces for both patient and witness signatures.

Once your consent form is drafted and ready to use, go the digital route. Digital consent forms offer accuracy, convenience and time savings. You no longer need to trace your papers in the clinic and refill the wrong forms.
